Use cases / A landlord Excel alternative
Keep the flexibility. Lose the spreadsheet detective work.
Excel is a sensible place to start tracking rent. Nexus Landlord becomes useful when the workbook no longer answers basic questions quickly or safely.
The problem
Where the current workflow starts to break
Separate sheets for tenants, leases and payments drift out of sync.
A formula can calculate arrears, but it cannot reliably connect a bank row, receipt, lease PDF and tenant conversation.
Monthly copying and manual status colours make errors hard to spot and harder to audit later.
A good fit when
- — Your workbook now has multiple tabs, colours, formulas or duplicate tenant names.
- — You repeatedly search bank statements to confirm whether rent arrived.
- — You want receipts and documents connected to the underlying tenant record.
- — You have outgrown a sheet but do not want enterprise property software.
Workflow
A reviewable process, not a black box
- 01
Export clean source data
Keep the original workbook, then export the tenant or payment data you want to migrate as CSV.
- 02
Import and review
Map columns deliberately and review records before saving. The original spreadsheet remains your fallback.
- 03
Use the workspace going forward
Record payments against the tenant and lease, generate receipts, and review exceptions from one screen.
Result
What improves
- ✓ Less formula maintenance
- ✓ Fewer duplicate or disconnected records
- ✓ A clearer audit trail from payment to tenant
- ✓ Exports remain available when you need spreadsheet analysis
Questions
›Can I import any Excel workbook directly?
Not every custom workbook maps automatically. Clean CSV exports work best, and bank statements have a separate CSV or Excel mapping flow.
›Do I need to stop using Excel?
No. Keep Excel for ad hoc analysis and exports. Use Nexus Landlord as the operational record for tenants, leases and payments.
›Is this suitable for hundreds of units and several employees?
No. A shared cloud or enterprise system is usually a better fit for a large team. Nexus Landlord is aimed at owner-operated portfolios of roughly 1–50 units.
